Hours, mileage and materials

Technicians book hours and materials on the work report. The timesheet brings the hours together with the mileage, and after approval they go to invoicing and the payroll export.

Step by step

  1. Hours on the work report

In the app the hours run from Start work until pausing or completing. If the technician forgot to start, or wants to book travel time, they choose Enter hours afterwards.

  2. Materials on the work report

The technician searches in My van or in All items, or scans the barcode. Materials from the van come off the stock of the van. The office corrects hours and materials on the Work report tab of the work order.

  3. The timesheet

The timesheets are under Work > Technicians. There you record hours with the activity, the start, the end and the break, or start and stop the timer. You can change them until the week is submitted; an approved entry is corrected with a reason.

  4. Mileage

Under every day of the timesheet there is a Mileage block: own car or company van, optionally for a visit. When automatic mileage is on under Settings > Rates, Servaro proposes the kilometres for every completed visit, from the previous visit or the starting point. With your own car you get the mileage allowance.

  5. Request leave

Under Work > Leave you request holiday, special leave or reduced working hours (ADV), in whole or half days. Whoever may approve hours approves or rejects it. Employees can report sick themselves, and so can the office; a sick report needs no approval.

  6. Approve and export

The employee submits the timesheet and the office approves it. Under Work > Payroll export you choose a period and download a CSV with, per employee, the normal hours, the supplement hours, the mileage with the allowance and the leave. Only approved weeks count.

Good to know

  • Supplements for overtime, evenings, nights, weekends and public holidays are set under Settings > Rates. Every hour gets at most one supplement: the highest that applies.
  • On a visit with several work orders, Split time in the app divides the time over the work orders, equally or in minutes per work order.
  • Extra work the technician agrees with the customer appears on To invoice as a separate line marked as extra work.
  • Only people who may manage items see cost prices. The technician app never shows them.
