Planning and work orders

The right job for the right technician

Every breakdown, inspection and service visit is a work order. On the planning board you assign it to a technician, Servaro takes travel time and expected duration into account, and the office sees all day how far everyone has got.

Work orders

From call-out to completed, always visible

A work order belongs to a customer, site and installation, and can consist of several visits. Its status shows where it stands.

  1. New
  2. Scheduled
  3. On the way
  4. In progress
  5. Waiting for parts
  6. Completed
  7. Invoiced
  • Breakdown, maintenance or inspection

Every type of work with priority, assets, notes for the technician and documents.

  • Call-outs come in by themselves

An email becomes a draft work order. When a customer calls, the office sees right away who it is.

  • Mileage and call-out charges

Mileage between sites is calculated. Agreements on call-out charges and travel time per customer, contract or site.

  • A dashboard per role

Management, planning and administration see their key figures and work lists; technicians see their own schedule.

Planning board and calendar

Plan with the whole week in view

  • Planning board with conflict checks

Drag work orders to a technician and a time. Servaro warns about double bookings, leave or a missing certificate.

  • Central calendar

Working hours, leave and availability per employee. When scheduling, Servaro takes the expected duration and the travel time between jobs into account.

  • Live progress

On the dashboard you see per technician what is done, what is in progress and who is running behind, based on the statuses from the app.

  • Absence

Leave, sickness and days off are in the schedule, so you never book someone who is not there.

  • Calendar on the phone

Every employee gets a calendar link for Google Calendar, Outlook or the iPhone calendar, without amounts. It can be revoked.

  • Rescheduling

If a job overruns, you see it right away and move the rest of the day yourself on the planning board.

Maintenance and contracts

Recurring work schedules itself

Maintenance plans create work orders in time, also for leak checks and inspections. The contract page has everything together.

  • Customer, sites, assets and scheduled visits per contract
  • Agreements on SLA, prices and call-out charges
  • Leak checks and inspections linked to the plan
  • History, documents and invoices on one page

Hours and employees

  • Hours by start and stop, or entered afterwards
  • Weekly timesheet per employee
  • Mileage filled in automatically, and adjustable
