Step by step
-
Review To invoice
Under Sales and finance > To invoice you find, per work order, the lines from the work report, with the price from the customer's price list and the hourly rate from Rates. Deviations are orange, such as a missing signature or an item without a price. Change the price or discount, write off or approve.
-
Create the invoice
Choose to create an invoice on a work order, or a new invoice from approved work. Per customer you set whether work goes on an invoice per work order, per location or per month. You can also create an invoice from a signed quote, or on its own.
-
Finalise it
An invoice starts as a draft, without a number. When you finalise it, Servaro checks your company details, the invoice gets the next number without gaps and it can no longer change. Corrections are made with a credit invoice.
-
Send the invoice
The PDF goes by email to the customer's invoice address or the contact for invoices, in their language, with the UBL file as a second attachment. If the customer has a Peppol ID and Peppol is on, the invoice goes straight to their accounts as an e-invoice.
-
Get paid
With the payment link the customer pays online through Mollie, and the payment comes in by itself. You record other payments yourself, or read an MT940 or CAMT.053 file from your bank under Bank statements: Servaro matches on invoice number and amount.
-
Follow what is open
When an invoice is still open after the due date, Servaro sends reminder 1, reminder 2 and the final notice on the days you set. Under Debtors you see per customer what is open and for how long. After the final notice you can hand an invoice over to a collection partner.
Good to know
- Reverse-charge VAT and intra-community supplies follow the customer. All lines are then at 0%, with the statutory wording on the invoice.
- The VAT return and the audit file (XAF) are under Sales and finance, made from your final invoices and booked purchase invoices.
- Technicians check out on site after the work report, with the Mollie payment QR or with SumUp.
- If you invoice in Exact Online, approved work goes to Exact as an export batch instead of an invoice in Servaro.
