Step by step
-
Set up warehouses and vans
Under Settings > Inventory you find the main warehouse. Add vans there and assign a technician for a period; the van warehouse is then created by itself. You also create extra fixed warehouses there, such as a depot at a branch.
-
Record items
Under Work > Items every item has an item number, a unit, a VAT rate and prices. A stock item keeps a quantity per warehouse and per van. With a barcode on the item, the technician scans it in the app.
-
Receive and move stock
On Work > Inventory you book a receipt into the main warehouse, with the cost price per piece. Moving puts stock from the main warehouse into a van, or from one van into another. Every booking is listed under Movements.
-
Reserve for a work order
On a work order that is still open, you reserve an item from the main warehouse or a van. It stays in stock but is no longer free. When the technician books it on the work report, the reservation ends.
-
Order what runs low
When an item drops below its minimum, it goes on the reorder list with the quantity up to the maximum. Tick it off when you have ordered it, or turn it into a purchase order under Work > Purchase orders.
-
Replenish the vans
Set the target stock per van, or take over the package of a van profile. Servaro works out what is needed and turns it into a transfer in one click. The technician receives the transfer, also in the app.
Good to know
- A part that goes back to the wholesaler or the manufacturer is tracked under Inventory > Returns, from draft to settled with a credit note, a replacement or a rejection.
- Only people who may manage items see cost prices and the stock value: by default the Warehouse and Administration roles, and Administrator and Owner.
- You read a wholesaler's price file at the items. Servaro shows for every line whether the price is new, changed or the same, and only applies the purchase prices once you confirm.
- Anyone with the Warehouse role gets a notification when an item drops below its minimum.
