Assets, positions and QR labels

An asset is the equipment at the customer, a position the fixed place where it hangs or stands. With a QR label anyone can find the asset again.

Step by step

  1. Record an asset

Go to Work > Installations and assets, or open the location, and add an asset with its asset type, brand, model and serial number. The asset type decides which extra fields and which checklist belong to it.

  2. Use positions for fixed places

When an asset is in a fixed place and is replaced regularly, such as a fire extinguisher in a corridor, create a position with a code, a name and a room. When you replace the asset, the new one takes the same position and the history of that place stays complete.

  3. Print the QR labels

Choose assets or positions, or all positions and assets of a location, and print the labels as a PDF on an A4 label sheet. On a half-used sheet you choose the label to start at. The code on the label holds no customer or asset data.

  4. Scan a label

Anyone who scans the label and may log in lands on the asset. A label on a position opens the asset that is there now. In the technician app a scan ticks the asset off on the visit. A customer logged in to the customer portal lands on the asset in the portal.

  5. Keep existing codes

If an asset already has a sticker from another system or a previous maintenance company, add that code as an existing code. Scanning that sticker then opens the asset too. Find existing code finds it again.

  6. Import assets

Under Administration > Import you read assets from Excel or CSV. Every row becomes an asset at an existing location, with its own QR label. Put the codes of old stickers in the column for existing label codes, so they keep working.

Good to know

  • The life cycle (in use, out of use, in storage, replaced or disposed of) is separate from the technical condition (good, reduced, faulty or not assessed). Only assets in use count for maintenance and planning.
  • The Photos tab shows the photos from the office and from work reports. Photos from before and after the work are for the customer by default; the rest stays internal.
  • On the map above the asset list you see the assets that have a position of their own. In the app the technician records that position with GPS.
  • On the Relations tab you record that an asset is part of, connected to, feeds or monitors another asset of the same customer.
