Customers, contacts and locations

A customer has contacts and one or more locations. The assets are at a location, and that is where the technician goes.

Step by step

  1. Create a customer

Go to Relations > Customers and create a new customer. In the search field at the top, type a company name, an 8-digit Chamber of Commerce number or a postcode with house number, and choose the company. Servaro fills in the name, the registration number and the billing address. Check them and add the rest.

  2. Choose the type and segment

Say whether the customer is a business or a private person, and choose a segment: business, private, owners' association, school, care institution or property manager. You can filter customers and work orders by segment.

  3. Link contacts

On the Contacts tab of the customer you link existing contacts or create a new one, with a role. One contact is the primary contact. Quotes, work reports and invoices go out in the language of the contact who receives them.

  4. Add a location

On the Locations tab you create a location. The form takes over the address, phone number and email address of the customer; change what is different. A Dutch address is checked against the BAG register. Also fill in the access instructions, opening hours and safety notes: the technician sees them in the app.

  5. Divide the location

On the page of the location you record buildings, floors and rooms under Rooms, and loops, groups or fire compartments with a code under Zones. Under Contacts you choose who is on site and who holds the key.

  6. Record the parties

On the Parties tab you record who owns, uses, manages and pays for the location, with a period. A new work order at the location goes to the payer who applies on that day.

Good to know

  • Servaro warns you when a customer with the same registration number, VAT number, email address or address already exists. After checking, you can carry on.
  • Archive a customer you no longer use. The customer and their data are kept.
  • If the company details cannot be fetched for a moment, fill in the customer by hand.
  • You can also read customers, contacts and locations from Excel or CSV, under Administration > Import.
