Inspections, checks and defects

An inspection belongs to a work order. The technician records the findings, Servaro creates the report, and a deviation becomes a defect in one click.

Step by step

  1. Schedule an inspection on the work order

On the work order, in the Inspections card, choose the kind: Inspection (with a report for the customer) or Own check. Fill in a standard, choose a protocol or both. The protocols that match the assets of the work order are at the top.

  2. Set the scope

Add the assets, positions or zones you inspect. Exclude what you do not inspect with the reason, such as not accessible or outside the assignment. The report shows both.

  3. Record the findings

At the office or in the app you record every deviation as its own finding, with the severity (low, normal, high or critical), an explanation and a photo. If you could not assess something, choose Not assessed with the reason: it never counts as approved.

  4. Complete and issue the report

On completion Servaro checks that the technician has the required certificates and that a calibrated instrument was chosen for every required kind. If everything is in order, Servaro creates version 1 of the report as a PDF. A correction gives a new version; the customer only sees the latest.

  5. Have the report reviewed

When review before issuing is on under Settings > Inspection requirements, the report first goes to Work > To review. After release the customer sees it. Whoever worked on the report may not release it themselves.

  6. Follow up the defects

With Create defect a deviation becomes a defect, with the severity as its priority. When a technician rejects an asset during a visit, the defect is created by itself. From a defect you create a repair work order or a quote. A reassessment later checks whether it was repaired.

Good to know

  • An inspection works with the protocol version that applied when it started. A new version of the form does not change an inspection that is running or completed.
  • Servaro has protocols for fire alarm systems, sprinklers, emergency lighting, dry risers, smoke control, penetration seals, SCIOS scopes and legionella, among others. To change one, copy it under Settings > Forms.
  • You record measuring instruments with their calibration under Work > Measuring instruments. Thirty days before a calibration expires, the office gets a notification.
  • An inspection by an inspection body, such as the periodic lift inspection, goes on the Inspections tab of the asset. It is separate from your own inspections.
  • Servaro is not an inspection body: the inspection and the verdict remain yours and your technicians'.
