Manual

Settings, roles and permissions

Under Settings you decide how Servaro works for your company, and with roles who may see and do what.

Step by step

  1. Assign roles

Servaro has fixed roles: Owner, Administrator, Planner, Administration, Warehouse, Technician, Subcontractor and Reviewer. You assign them under Settings > Users, when editing a user. Roles add up, and with several branches you can limit a role to one branch.

  2. Create a custom role

Under Settings > Roles you create an empty role or a copy of an existing one, and tick per module what the role may do. You can only grant permissions you have yourself. For one user you make an exception for one permission, optionally with an end date.

  3. Branches and numbering

Under Settings > Branches you manage the offices or regions; the address of the head office is on your documents. Under Numbering you choose per kind, such as work orders and invoices, a prefix such as WO-{YYYY}- and the number of digits. A series runs on without gaps.

  4. Branding and documents

Under Branding you set your logo, colours, contact details and terms and conditions. Under Document layout you choose per kind of document the header, the accent colour, the font, the margins and the footer. Preview shows the result before you publish.

  5. Email from your own domain

Under Settings > Email sender you add your domain. Servaro shows the DNS records to set with your domain provider. Once SPF and DKIM check out, email comes from your own address.

  6. Notifications and security

Under Settings > Notifications you choose the default per kind of notification: in the app, by email or both. Everyone can deviate from it. Two-factor authentication is required for everyone; with single sign-on (SAML) colleagues log in through the identity provider of your organisation.

Good to know

  • There is always at least one Owner. Only an Owner manages the subscription and the owners.
  • Every change to roles and permissions is in the audit log, under Administration > Audit log.
  • Settings > Working hours has the working hours of the company, the public holidays and the days off. You set working hours per employee under Employee working hours.
  • An owner or administrator turns the AI features on or off for the whole company. When they are off, no data goes to an AI provider.
