Getting started with Servaro

From the first time you log in to your first work order. The setup list on your dashboard keeps track of what is done.

Step by step

  1. Log in and set up two-factor authentication

You receive an invitation by email. Choose a password and set up two-factor authentication with an authenticator app, such as Microsoft Authenticator or Google Authenticator, or with a passkey. This is required for everyone. Keep the recovery codes somewhere safe, not on the same device as your app.

  2. Go through the setup list

On the dashboard the owner sees the list Set up your organisation: company details, branding, users, rates, email, accounting, importing data and the first work order. A step is ticked off by itself, for example Users once a second colleague accepts their invitation.

  3. Fill in your company details and branding

Under Settings > Company you fill in the Chamber of Commerce (KvK) number, the VAT number and the address of the head office. Without these, no quotes or invoices go out. Under Branding you set your logo and colours for emails and documents.

  4. Invite your colleagues

Under Settings > Users choose Invite. Fill in the email address and the language of the invitation and choose the roles. A new user gets the Technician role by default. The link in the invitation works once.

  5. Import your data

Under Administration > Import you read customers, contacts, locations, assets, items and fault codes from Excel or CSV. Download the template first: it has the column names in your language and two made-up example rows. Servaro checks every row and shows the errors before anything is saved. Import customers first, then locations and contacts, and then assets.

  6. Create your first work order

Create a work order under Work > Work orders, schedule it on the schedule board and send the day to the technician app. The manual Work orders and planning shows how.

Good to know

  • Moving from OutSmart or Syntess? The import screen lists, per package, which files to import and in which order, with a ready-made column mapping.
  • You can roll back an import as long as no work order, work report or other work is linked to the new data.
  • Ctrl+K searches customers, contacts, locations, assets, work orders, quotes, items and files at once. You only see what you are allowed to open.
  • Under Support > Help you start or resume the tour for your role.
  • The trial lasts 30 days, with every feature. The owner chooses a plan under Settings > Subscription and pays through Mollie.
