Step by step
-
Create a quote
Under Sales and finance > Quotes choose a new quote, with the customer, the contact and the location. Optionally choose a template: the item lines then get the current price for that customer.
-
Fill in the lines
Add items, labour, free lines, text lines and subtotals, with quantity, price, discount and VAT. With variants you offer two or three versions. An optional line does not count in the total; the customer ticks it themselves.
-
Send the quote
Sending creates the PDF in your branding, in the language of the contact. The email has a button to the online quote. You can send once the registration number, the VAT number and the address of the head office are filled in.
-
Have the customer sign
On the online quote the customer chooses a variant and options, fills in their name and signs with a code they receive by email. The quote is then accepted, with the signed PDF attached. Rejecting is possible too, with a reason. The Viewed card shows when and for how long the customer opened the quote.
-
Remind or extend
If the customer does not respond, they get a reminder by themselves. Under Settings > Quotes you choose after how many days and how often. When the validity has passed, extending gives the quote a new date, without a new version.
-
Convert the quote
You convert an accepted quote into a work order, an invoice or a project. Only the chosen variant and options are taken along.
Good to know
- You change a quote that was sent with a new version. The customer always sees the latest.
- On a quote, saving as a template creates a template with the title, the introduction and the lines of that quote.
- Above the list of quotes are the figures for a period you choose: sent, signed, rejected, the success rate and the average time to sign.
- With Record choice you record the customer's choice, for example after a phone call. A reason is required.
- In the customer portal the customer views their quotes. They accept or reject with the link in the email.
